Zoho CRM to Work Order: Automating the Sales-to-Production Handoff

How to eliminate the manual handoff between a won opportunity in Zoho CRM and a work order on the shop floor — and what the workflow actually looks like

The Handoff Problem

In most manufacturing businesses running Zoho CRM, the handoff between sales and production is manual. A deal closes in Zoho CRM, someone exports a PDF or prints the quote, walks it to production or emails it, and a scheduler or production manager manually creates the work order. Data gets re-entered, details get missed, and the time between "deal closed" and "work order created" ranges from hours to days.

This is the sales-to-production handoff problem, and it's universal among manufacturers using CRM and production tools that don't talk to each other.

What the Automated Workflow Looks Like

An automated Zoho CRM to work order workflow eliminates the manual steps:

  1. Opportunity closes as Won in Zoho CRM: The trigger. This is the moment the customer commitment is made.
  2. Quote/order data is read from the opportunity record: Product line items, quantities, required delivery dates, and any special instructions captured in CRM are automatically available to the production system.
  3. A sales order is created in the production system: Customer, product, quantity, and due date flow directly from CRM without re-entry.
  4. The BOM for the ordered product is automatically retrieved: The production system looks up the product BOM, explodes it against the ordered quantity, and checks component availability.
  5. A work order is created with full BOM and routing: The scheduler receives a ready-to-schedule work order complete with operations, estimated run times, and material requirements.
  6. CRM opportunity is updated with work order status: Sales can see production status directly from the CRM opportunity record — no follow-up calls to the shop floor.

Building This in Zoho Creator vs. Using a Native Integration

There are two ways to build this workflow:

Zoho Creator Custom Development

You can build a custom work order application in Zoho Creator and connect it to Zoho CRM via Zoho's native integration tools. The integration is technically feasible, but the work order application itself needs to be built from scratch — BOM management, routing, shop floor interface, job costing. Typical build time: 6-12 months. Typical cost: $40K-$80K in development.

  • Products/items: The product line items on CRM quotes need to match product records in the production system with identical SKUs or names
  • Units of measure: If CRM quotes in "units" and production plans in "each" or "pcs," the systems need a mapping
  • Customer records: Customer IDs should match or sync between CRM and production to avoid duplicate records
  • Delivery dates: The required ship date on the CRM opportunity should flow to the production work order as the due date for backward scheduling

What Sales Gets From the Integration

The integration benefits flow both directions. Sales teams get:

  • Real-time order status without calling production
  • Accurate available-to-promise dates when quoting — the production system can check capacity before a commit date is offered
  • Production milestone visibility (work order created, material confirmed, production started, shipped) visible in the CRM opportunity
  • Historical job completion data that improves quoting accuracy for similar products

Getting Started

The two prerequisites before implementing this integration:

  1. Product catalog in Zoho CRM must be clean and consistent — this is often the most time-consuming part, as many CRM product catalogs accumulate duplicates and inconsistencies
  2. BOMs in the production system must exist for every product that will flow from CRM to work order
